Privacy notice for applicants
This notice explains what Front Seed Labs Ltd does with the information you give when you apply for a role through this site.
Who we are
Front Seed Labs Ltd, 1 Greek Street, 4th Floor, London, W1D 4NQ, United Kingdom, is the controller of your information. We are registered with the Information Commissioner's Office under number ZC267927. Write to dataprotection@frontseed.com about anything in this notice.
What we collect
- The answers to the must-have questions. If you do not meet one, we keep only a count of that answer for that role and date, with nothing that identifies you.
- If you go on to apply: your name, email address, CV, desired day rate, availability, whether you are comfortable assessing your own IR35 status, your LinkedIn link if you give one, your answers to the role's questions, and the time you confirmed you had read this notice.
- If you book a call: your name, email address and the time of the call.
- If we speak on a call: a recording or transcript, made only with your consent given at the start of the call. You can say no, or ask us to stop at any point.
- When you visit the site: our web server logs your IP address, the pages you request and when, for security. These logs are deleted after seven days.
Everything in the application is required except the LinkedIn link; without it we cannot consider you. We do not ask for a phone number.
Why, and on what basis
We use your information to decide whether to put you forward to our client for the role and, if we do, to arrange your contract. The law lets us do this because you have asked us to consider you for a contract (steps before entering into a contract), and because we have a legitimate interest in finding suitable contractors for our clients. We do not rely on your consent for the application itself, and ticking that you have read this notice is not consent.
Who sees it
- Akamai (Linode) hosts this site in London. Your application sits there only for the few minutes until we collect it. Akamai also keeps its own records of visits to the server (IP address, pages, time, browser) for security and billing, under its own privacy statement: https://www.akamai.com/legal/privacy-statement.
- Fastmail carries our email.
- Google (calendar and Meet) and Flexibits (Fantastical booking) hold booking details if you book a call.
- Our client, the company we are filling the role for. We never name you to our client, or share anything about you with them, before we have spoken. On the call we tell you who our client is and ask whether we may put you forward and share your CV. If you agree, we send your CV to our client, who then holds it under its own privacy terms.
Calls run on Google Meet. Google does not record them; any recording or transcript is made on our own computers.
Where it is kept
We keep your information in the United Kingdom: on the web server in London until we collect it, then on our own server and its backups, and on our own computers for call transcripts. Akamai's records of visits to the server are processed in the United States, by a company certified under the UK Extension to the EU–US Data Privacy Framework. Fastmail, Google and Flexibits process emails and booking details outside the UK, under the safeguards UK law requires; ask us for details.
How long
Six months after the role closes, then deleted. A call recording is deleted as soon as it has been transcribed; the transcript is kept for the six months. Our backups do not expire on their own, so we purge your information from them by hand at the same time. You can ask us to delete it sooner.
Cookies
The site sets one cookie, which is strictly necessary: it records for a few hours that you met the must-haves for a role, so the application form can be sent. It holds nothing about you.
Your rights
You can ask for a copy of your information, including in a form you can take elsewhere, ask us to correct or delete it, object to our use of it, or ask us to restrict it. Write to dataprotection@frontseed.com. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
